SUPERVISOR OF PAYROLLS
WORCESTER FIRE DEPARTMENT
CITY OF WORCESTER

The City of Worcester seeks qualified applicants for the Supervisor of Payrolls for the Administration Division within the Fire Department. Under the direction of the Supervisor of Administration, the position will perform entry level payroll processing and provide administrative support for the Operations and the Training Division for the Worcester Fire Department. The Supervisor of Payroll is responsible for assuring that all transactions are processed promptly and in accordance with the City’s policies and procedures. The employee will work collaboratively with Auditing, Human Resources, and the Treasury Department to ensure accurate and efficient records.

ESSENTIAL ELEMENTS:

  • Process the daily/weekly payroll for the Fire Department, accurately and in a timely manner
  • Review, correct and approve all division payrolls prior to department sign off to ensure accuracy
  • Utilize the computerized attendance tracking system
  • Maintain department personnel records
  • Collect and track documents for all paid time off occurrences, retirement, military leave, sick bank, etc.
  • Create and maintain training rosters and matrixes for all trainings conducted by the division
  • Completing monthly VA apprenticeship reimbursements for qualified employees
  • Record and maintain AED download records and purchase related supplies
  • Maintain records of departmental use of Narcan, as well as serving as the liaison in the management and coordination of the Narcan grant

SECONDARY ELEMENTS:

  • Perform clerical duties, including answering phones, typing, filing, office supply ordering, etc. Other administrative and payroll duties as needed, or assigned will also be performed
  • Provide back-up assistance in the absence of the Accountant

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to learn the Department’s current payroll procedures, policies, and practices.
  • Strong communication skills, including written and interpersonal skills
  • Familiarity in managing budgets in Excel
  • Ability to provide employee related customer service in a professional manner
  • Strong analytical and organizational skills, accuracy, and detail orientation
  • Ability to work independently, consistently, and reliably meet establish deadlines
  • Ability to work with others as a team when necessary
  • Ability to perform under pressure and in a fast-paced environment
  • Ability to process weekly payroll, retroactive pay, buybacks, and other pay calculations as needed
  • Ability to maintain good working relationships and work closely with all employees and other city departments
  • Ability to maintain confidentiality
  • Knowledge of office terminology, practices, procedures, and functions
  • Strong data management skills
  • Familiarity and ability to handle complex tasks with little to no supervision
  • Ability to establish and maintain effective working relationships with other employees and agencies
  • Proficiency with computers, including Microsoft Office applications
  • Ability to maintain accurate files and records

MINIMUM REQUIREMENTS:

  • High School Diploma or equivalent
  • Prior payroll experience
  • Excellent communication skills
  • Proficiency in Microsoft Office (Excel) to analyze and reconcile financial data

PREFERRED QUALIFICATIONS:

  • Associate Degree
  • Two (2) years of administrative experience
  • Two (2) years of payroll processing experience
  • Two (2) years of office experience

SALARY RANGE: $25.96 - $31.49 hourly, full time, excellent benefits package
