Communications of the City Clerk

4a.

Transmitting an update concerning the efforts of the City Clerk and City Manager offices to replace the City Council and Boards and Commission agenda management system. # 16b CC April 26, 2022

Chairperson Councilor Haxhiaj read the item and recognized the Deputy City Clerk, who provided an overview of the efforts to update the City’s agenda management system.

Chairperson Councilor Haxhiaj then discussed whether it is feasible to download a snippet of the video and to combine the City Council agenda, whether the program will be more accessibility to the public with the City Manager agenda, the next step in the process to implement the program and which other Massachusetts communities utilize the program with the Deputy City Clerk.

Chairperson Councilor Haxhiaj moved for a roll call vote to recommend the item be filed.

Transmitting an informational communication concerning, "Building Blocks," which is a new tool that members of the City Council and support staff may utilize to find information on particular properties in the city. # 13a CC February 15, 2022

Chairperson Councilor Haxhiaj read the item and recognized the Tolemi Director of Client Services, who provided an overview of the “Building Blocks” program.

Chairperson Councilor Haxhiaj then discussed whether information relative to DPW work orders for a property will be accessible through the program with the Tolemi Director of Client Services and the Data Analyst.

Chairperson Councilor Haxhiaj recognized Councilor Russell, who discussed whether it is feasible to access DPW work orders for public ways to the “Building Blocks” program, the overlapping of information relative to property owners between “Building Blocks” program and the proposed rental property registry, similarities and differences between “Building Blocks” program and “NearMap” program, how to access the program on non-computer devices and the sources of the data utilized by the program with the Data Analyst.

Chairperson Councilor Haxhiaj recognized Councilor Toomey, who discussed how much data can be shared with and utilized by other city programs and departments, whether manuals for the program will be provided and the filtering feature of the program with the Data Analyst and the Tolemi Director of Client Services.

Chairperson Councilor Haxhiaj brought forth the following Chairman’s Order: Request City Clerk work with the Chief of Staff of City Council and the appropriate Tolemi representative to ensure remote logins work for the new “Building Blocks” program.

Chairperson Councilor Haxhiaj moved for a roll call vote to recommend the item be filed.
